How to Add Comments and Highlight Text in a Microsoft Word Document

In order to add comments to a Microsoft Word document you will need to have the Reviewing Toolbar menu open for your document. You can find the Reviewing Toolbarfs under View menus and choose Reviewing. This procedure will activate the Reviewing Toolbar so that you can add comments and highlight text in your Microsoft Word Document.

Adding Comments to a Microsoft Word Document

If you are a professional writer or other professional who works from home, you may find yourself in a position where you are sending Microsoft Word documents back and forth with an Editor or other business professionals. Another aspect of Microsoft Word, is that you are able to add comments to the documents that are being exchanged. This feature can become rather handy to get everyone involved to the end result, a finalized document that is ready to be used.

The Insert Comment icon will appear as a sticky note on the Reviewing Toolbar. A Comment window will open at the bottom of the page when you click on the Insert Comment. You will type your comments into the box and click close when you are finished with your comment for the document in Microsoft Word. Your comment section will appear highlighted so that you know the presence of the comments to the Microsoft Word document were added.

In order for you and co-workers to view your comments in the Microsoft Word Document, the Reviewing Toolbar will need to be open as well. In order to view the comments in the document, the Next Comment icon will need to be used. The Next Comment will appear as a sticky note pad with a right-facing arrow.

The cursor will need to be moved over the highlighted comment notation in the document. The comment box will open the identity of the person who made the comments, as well as, the comments. The names or initials of everyone who has made comments in the Microsoft Word document will appear by using the Previous Comments and the Edit Comments icons on the Reviewing Toolbar.

In order to remove any of the comments that are placed in a Microsoft Word document, the Delete Comment will need to be used. There are two ways that comments can be deleted from the document.

The Delete Comment icon can be used to remove comments from the Microsoft Word document. The Delete Comment icon is a sticky note pad that has an X on it. The other way to delete comments from the document is to right click on the comment section, click the Delete Comment from the menu box that appears.

Highlighting Text in a Microsoft Word Document

In order to highlight text in a Microsoft Word document, you will once again need to have the Reviewing toolbar open. The Highlighter icon looks like a mini highlighter or tiny pen. There is a color menu drop-down box located next to the icon with an arrow.

Activating the Highlighter Icon

To activate the Highlighter icon you will need to do the following steps:

œ Select a color for your highlighter by clicking on the arrow for the color menu. Click the color you want to use.
œ The highlighter will be active once your pointer turns into a mini highlighter or pen.

Other Highlighting Options

œ Select the text that you want highlighted.
œ Choose a color from the list of colors from the Highlighter icon arrow.

Removing the Highlights From the Text

Choose the highlighted text from the document, and choose NONE from the drop-down color-menu list from the arrow of the Highlighting icon.
